Using the Import/Export Tool for your products

Your Online Shop uses WooCommerce, which has a built-in product Import and Export which is access from Products in the left side menu. The advantage of using the Import/Export Tool, is that you can update your products in bulk simply by uploading an Excel csv file, including variations ie products that have various options such as colours and sizes etc.  To update your products using the Import/Export Tool, follow these steps. 

Firstly export a copy of your products

  • Once your logged into the Admin backend of your WordPress site, go to Products > Export
  • The pop-up window defaults to download all product information (columns), all products and all categories. You can change this if you are only interested in reviewing and updating certain information, but you must always export the ‘ID’ column, if you plan on using the export to import updated information back into your website shop. It is recommended that you ‘export all’ and tick ‘Yes, export all custom meta’. You will have a clear view of all product information in your website and can update as required. 
  • Click the button Generate CSV. This will export and download an Excel csv file, which contains all of your product details.

Important! If you plan to make updates to this export file and re-upload it to your website, it is recommended that you don't make any product updates directly in your website backend, until after your re-upload this file. This is simply because your export will no longer be an identical copy of the product information in your website and when you re-upload the file, you may over-write the changes you made directly in the website. 

  • Go to your Downloads on your computer and open the cvs file. If you are unable to open the file because you don’t have the relevant software on your computer to open csv files, it is recommended that you use the free online Spreadsheet editor such as Google Sheets. If you don’t already have a free Google account, you can simply create a new account by clicking Sign In > Create new account.
  • Once you open the csv file, make you required changes to the products and once ready you can import the updated csv into your website.

 Import your updated product file

  • Within the Admin backend of your WordPress site, go to Products > Import
  • Next you need to choose the csv file that is to be uploaded. 
  • If you are updating existing products in your website, you must tick the box, to update existing products. If you have added new products to the csv file, these will be ignored for this upload. You can upload the same file again afterwards and just ensure the tick box for existing products is empty and the new products will be added. 
  • Click the button Continue
  • Next you need to Map the CSV fields to the products. If you are using the same CSV file that you exported, then the CSV field mapping will be automatically done for you, because the fields in your csv file are exactly the same as the fields in your website products. Therefore, there is nothing you need to do here.  
  • Scroll to the bottom of the screen and click the button Run the Importer. 
  • Next you need to Map the CSV fields to the products. If you are using the same CSV file that you exported, then the CSV field mapping will be automatically done for you, because the fields in your csv file are exactly the same as the fields in your website products. Therefore, there is nothing you need to do here.  
  • Scroll to the bottom of the screen and click the button Run the Importer. 
  • The products will be imported and a status report will display on screen as shown below. Click View products  to close the importer and view your products.
